The statement ‘planning ahead’ might seem a little obvious in the world of events, where organisation and planning is key
… but you’d be surprised, the number of events I attend, or people I speak to who think that planning an event takes a couple of hours and suddenly you have the most perfect occasion.
Sadly, this is not the case! Events take a lot of planning, which, quite frankly is the bit I love. Finding the right suppliers, working out what is going to happen when and then bringing it all together on the day.
One of the key elements in planning an event is thinking far enough in advance to ensure you can get everything booked. Now, it might only be March, but I’m going to mention the C word…..Christmas! I know it only seems like five minutes since last Christmas but believe me, being one of the biggest occasions in the calendar Christmas never really goes away, especially if you are planning an event. In fact, I’ve been talking about the festive season since January!
This might sound ridiculous, but if you don’t plan ahead, well prepare to be disappointed. Why? Because everything and everyone concerned with Christmas gets booked up months in advance. This doesn’t just apply to Christmas; this applies to anything to do with events. Let me give you another example; if you were booking a holiday to Disney World it is likely that this is a holiday that you would be planning for months, if not years. Working out how much it is going to cost and saving towards that. Then once the budget is in place, working out when you can go, so you can get the best hotels, theme park passes and flights. Needless to say you will be booking months in advance and therefore will be planning ahead!
It is the same in events; everything from venues to caterers will get booked up months, if not years in advance. I’m currently in the process of organising a Christmas shopping event. The venue is booked, but we had to carefully consider getting the right date, not only for maximum impact for our customers Christmas shopping, but making sure we aren’t clashing with other events that are already in the calendar. Next we’ll be booking stalls, because if we don’t, well we might miss out.
The saying ‘fail to prepare, prepare to fail’ springs to mind when it comes to planning an event. If you don’t plan ahead, think of every little thing that you might need, then it’s likely that you’ll get caught out in some little way. But never fear, at Consider It Done we have all this covered. Planning is in our DNA! When we take a brief from a client we consider the timeline. When you’re proposed event is and work back from there. There are always certain things, such as venue, which will need booking straight away. Without a confirmed date and location, well there simply won’t be an event. From that point we can work out what else needs booking and ensure that as much as possible is booked as soon as possible. Its not just booking it’s also considering suppliers we might need to source or design work we might need.
So let us take the stress of planning ahead away from you and we will arrange everything for your event. But one simple request, please don’t leave it too late; even we can’t work miracles overnight!
